Facility

  • Are there restaurants and shops at the facility?

    No, not at the facility. Please visit the restaurants and shops at the Hilton Nagasaki, and nearby commercial facilities and shopping districts.

  • Are there vending machines in the facility?

    Beverage vending machines will be installed in the facility.

  • Are there coin lockers in the facility?

    Coin lockers will be installed in the facility. Detailed information will be announced soon.

  • Where can I find lost items?

    For lost items, please contact us by e-mail at: info@dejima-messe.jp.

  • Is there a smoking area?

    Yes, there is a Smoking Room on the 2nd floor. Smoking is prohibited in all other areas on premises, so please use the designated Smoking Room. Depending on the event organizer’s policy, the Smoking Room may be closed.

  • Is internet service available?

    Yes, free Wi-Fi is available in the common areas on each floor.
    Note: Due to circumstances of some events, Wi-Fi access may not be available.

  • Is there an Automated External Defibrillator (AED) at the facility?

    Yes, one is available in the Administration Office.

  • Is it possible to check the availability of the facility?

    Yes, for facility availability, please contact us by e-mail at: info@dejima-messe.jp.

  • Is it possible to eat and drink in the facility?

    Yes, with prior approval all venues allow food and beverages. However, due to strong odors and possible spillage we may not allow some food or beverages.

  • Do you have a "Terms of Use" policy?

    Yes. Please contact us by e-mail and we will send you our "Terms of Use" policy (info@dejima-messe.jp).

  • What should I do with garbage after the event is over?

    You are responsible for removing garbage from the facility, However, garbage may be processed at the facility for a fee.

  • Is there a Nursing Room?

    Yes, a Nursing Room is located on the 1st and 2nd floor. Please confirm that it is available during your event.

  • Is there a daycare center?

    No, not in the facility. However, we are considering temporary childcare services which can be provided to the organizer. Fees for childcare services and venue fees for the facility will be charged separately.

  • Is there a place where I can make copies and send a fax?

    Yes, a copy and fax machine will be available for a fee. Detailed information will be announced soon.

  • Can I bring my pet dog or cat?

    Sorry, we do not allow any animals at the facility, except for assistance dogs, such as guide dogs, service dogs and hearing dogs.

  • Is it possible to tour the facility?

    Yes, please contact us by e-mail in advance and specify the venue you want to visit (info@dejima-messe.jp). Please note, we are not able to offer tours on the same day as a request. Tours and previews prior to the facility’s opening will be available beginning sometime in October (subject to change).

  • Can I place an advertisement at the facility? Can I borrow or use a photo? Is it possible to shoot photos/videos of the facility for commercial use?

Parking Lot / Transportation / Access

  • Is there a parking lot?

    Yes, there is a parking lot with a 300 vehicle capacity.

  • Are there parking spaces for people with disabilities?

    Yes, there are reserved disability-accessible spaces in the parking lot.

  • How far is the facility from the nearest station?

    The facility is directly connected to the west exit of the JR Nagasaki Station by a covered pedestrian deck. For details, please check the "Access" page.

  • How can I get to Dejima Messe?

    JR Nagasaki Station is well connected by different modes of public transportation, including highway buses from Nagasaki Airport and all over Kyushu. For details, please check the "Access" page.

  • Is there a motorcycle parking lot?

    No, there is no motorcycle parking lot. Please use a nearby parking lot which allows motorcycles.

  • Is there a bicycle parking lot?

    No, there is no bicycle parking lot. Please use designated parking areas for bicycles nearby.

  • Is it possible to reserve a parking space in advance?

  • Is there a parking discount? Is there free parking for the organizer?

  • Is it possible to park buses or vehicles other than standard-sized cars?

  • Is there an ATM nearby?

    Yes, Amu Plaza Nagasaki, and nearby convenience stores and banks have ATMs. Please check their websites for business hours and the latest information.

Accessibility

  • Are there parking spaces for people with disabilities?

    Yes, there are reserved disability-accessible spaces in the parking lot.

  • Are bathrooms equipped for people with physical challenges?

    Yes, multi-functional bathrooms are located on each floor.

  • Are wheelchairs available for rent?

    Yes, wheelchair rental service (free of charge) is available. As the number of wheelchairs is limited, we recommend that you contact us by e-mail at: info@dejima-messe.jp.

Reservations / Cancellations / Changes

  • When can I make a general reservation?

    General reservations for the Event & Exhibition Hall and Convention Hall can be made from the 1st day of the month, 24 months in advance.
    General reservations for Conference Rooms can be made from the 1st day of the month, 12 months in advance.
    Note: On the 1st day of the concerned month, if there are duplicate applications, a lottery will be held. For details, please contact us by e-mail at: info@dejima-messe.jp.

  • Can I make reservations for international conferences and large-scale events before the general reservation period?

    Yes, reservations can be accepted at any time for international events, national events, and events that make full use of the Convention Hall or Event & Exhibition Hall. For these types of reservations, please contact us by e-mail at: info@dejima-messe.jp.

  • How do I make a reservation?

    Please inform us of your event name, organizer information, session information and number of participants by e-mail at: info@dejima-messe.jp. After checking availability, we will make a tentative reservation on your behalf. For details, please contact us by e-mail at: info@dejima-messe.jp.

  • Please tell me about the venue usage categories.

    Usage time for the Convention Hall, Event & Exhibition Hall, and Conference Rooms (101-206) is divided into three categories. Please note, usage time includes preparation and clean up time.

    Category 1: Morning (9:00 - 12:00) / Afternoon (13:00 - 17:00) / Night (18:00 - 22:00)
    Category 2: Morning-Afternoon (9: 00 - 17: 00) / Afternoon-Night (13: 00 - 22: 00)
    Category 3: All day (9: 00 - 22: 00)
    For pricing information, please refer to the "Facility Fees" PDF.
    * Early morning and late night usage outside of regular category hours is possible for a fee.
    * In principle, it is not possible to extend category times. For example, we will not extend usage time from 12:00 to 13:00 or 17:00 to 18:00. In the case of a 9:00 to 13:00 desired usage time, please make a reservation for the Morning-Afternoon (9:00 – 17:00) usage time category.

  • When is the facility usage fee to be paid?

    50% of the venue fee is to be paid within 2 weeks after submitting the usage permit application. The balance of the venue fee will be paid after a pre-event meeting between facility management and event organizers, which will be held about one month before the event. Equipment and additional services are to be paid within two weeks from the end of the event. For details, please contact us by e-mail at: info@dejima-messe.jp.

  • How to cancel / change a reservation?

    For reservation cancellations and changes, please confirm by e-mail at: info@dejima-messe.jp.
    Please note, both, cancellations and changes to reservations may be subject to a cancellation fee depending on the date of the cancellation or change.

Venue Setup

  • Is the organizer responsible for setting up and removing tables and chairs?

    Conference Rooms: The facility will set up tables and chairs according to one of the basic floor layouts (theater / school), and remove them at the end of the event. The event organizer is responsible if changes to the layout of the tables and chairs are necessary. The facility is able to change the floor layout for a fee.
    Convention Hall: The facility will set up tables and chairs according to the floor layout confirmed in the pre-event meeting, and remove them at the end of the event. A separate setup and removal fee will be charged.
    Event & Exhibition Hall: The organizer is responsible for setting up and removing tables and chairs. The facility is able to set-up tables and chairs according to a specific layout, and remove them at the end of the event for a fee.

  • Will you be able to operate equipment such as audio, lighting, and video equipment?

    We will arrange a professional operator to meet your needs upon request (for a fee). When using the Convention Hall, we ask that you use the operator (audio/lighting/video operator) designated by the facility. The number of operators and fee will be discussed and be dependent on the scale of the event.

  • Is it possible to bring in equipment?

    Yes, it is possible. There is no special carry-in fee. Please inform us of the details at the pre-event meeting.

Carry In-out / Courier Service / Storage

  • What is the equipment carry-in and carry-out procedure?

  • What is the size of the carry-in/out elevator?

    Detailed information will be announced soon.

  • Can you arrange for a courier service?

    Detailed information will be announced soon.

  • Is it possible to store luggage in advance?

    The organizer is allowed to store a small amount of luggage in advance. Please let us know the approximate number and size of the items to be stored at the pre-event meeting.

Food/Beverages and Catering

  • Is it possible to bring in food and beverage?

  • Is there a list of catering and lunch box companies that can be introduced by the facility?

  • Is the Event & Exhibition Hall equipped to handle food and beverage, including the use of kitchen devices that emit flames?

    Yes, electricity, gas (city), and water supply pits are available in the Event & Exhibition Hall, and can be used under the direction of the facility manager and with permission from the Nagasaki Public Health Department and Nagasaki Central Fire Department. Organizers are requested to apply to the concerned authorities for permission.

Equipment, Tables, Chairs, and Heating/Cooling Usage

  • What kind of equipment is available for rent?

  • Are tables, chairs, and heating/cooling charges included in the venue fee?

    Conference Rooms: Tables, chairs, and heating/cooling usage charges are included in the venue fee.
    Convention Hall: Tables and chairs are included in the venue fee. Heating/cooling usage charges will be charged separately.
    Event & Exhibition Hall: Tables, chairs and heating / cooling charges will be charged separately.

Floor Layouts and Designs

  • Do you have a compilation of floor layouts? Are there floor layouts that apply social distancing?

    Floor layouts for each venue (with social distancing) can be seen on the "Floor Layout" PDF. Please contact us for custom floor plans.

  • Do you have a base map?

    Detailed information will be announced soon.

  • Is it possible to create a design of the floor layout?

    We ask organizers to handle any floor layout designs for your event. However, we are able to create floor layout designs for a fee, please feel free to contact us.

Options and Packages

  • What options can be arranged for events?

    Catering, equipment, signboards, flowers, staff, and other options can be arranged by Dejima Messe Nagasaki for your event. Detailed information will be announced soon.

  • Is there a package fee available for usage of Internet live streaming, etc. for virtual/hybrid events, etc.?

Infection Prevention Measures

  • Are infection prevention measures being implemented at the facility? Do you have additional infection prevention equipment for rent?

    A wide range of infection prevention measures are being implemented by Dejima Messe Nagasaki to enable organizers, participants, and operators to hold events safely and securely. For details, please refer to the "Infection Prevention" page. We do rent out additional infection prevention equipment, so please feel free to contact us for a consultation.
